Customer Sync Rules control how the app handles your customers: how it recognizes an existing customer in e-conomic, how customer numbers are created, what default values new customers get, and which data fields are copied over. You find these settings on the Sales Posting Setup page, under the Customer tab. (The Product and Invoice tabs are covered in their own guides.)

How do you want to match your customers?

This setting decides how the app checks whether a Shopify customer already exists in e-conomic, so it does not create duplicates. You pick one field on the Shopify side and one field on the e-conomic side. The default is Customer Name on both sides: when an order comes in, the app looks for an e-conomic customer with the same name. If one exists, the invoice is attached to that customer. If not, a new customer is created.

Make sure the Shopify field you select is never empty on your orders. If the field is empty, the sync cannot match the customer and the order will trigger an error.
Use a Default Customer for Point of Sale (POS) Order – some Shopify POS orders (in-store sales) have no customer attached at all. If you tick this box, the app creates one customer in e-conomic named “POS Customer – Cloudify” and assigns all customer-less POS orders to it. Without this, those orders would fail to sync. How do you want to handle customer numbers?

Every customer in e-conomic has a customer number. This setting decides who creates that number when a new customer record is made:
  • Let e-conomic create customer number (default) – e-conomic generates a unique number automatically. This guarantees no two customers share a number in your e-conomic account.
  • Take the number from Shopify – the app uses a number from a Shopify field instead. Only choose this if you already manage customer numbers in Shopify and know they are unique.

Which Shopify customer field do you want to use for e-conomic customer number?

If e-conomic generates the customer number, you can choose to save that number back into a Shopify field, so you can see it in Shopify too.
  • Select a Shopify field to store it, or
  • Choose Do not add it anywhere if you do not need the number in Shopify. Nothing is written back.

Customer Default Mappings

When the app creates a new customer in e-conomic, some fields are required by e-conomic but do not exist in Shopify. This section sets the default values those new customers get.
  • Select Payment Terms – the standard payment deadline on invoices for these customers, for example “Netto 8 dage” (payment due within 8 days).
  • Select Customer Groups – the e-conomic customer group that new customers are placed in. Groups are used in e-conomic to organize customers for reporting.
  • Select Currency – the default currency for transactions with these customers, for example Danske kroner.
  • Select Invoice Layout – the invoice design/template e-conomic uses when generating invoices for these customers.
  • In which country is your e-conomic account registered? – your home country. The app uses this to work out which sales are domestic and which are foreign for VAT purposes. It can be changed later under Advanced if needed.

VAT zone mode

VAT zones decide which VAT treatment a customer gets based on where they are located.
  • Standard Dynamic VAT Zones (default) – the app automatically assigns the VAT zone from the customer’s location: Domestic, EU, or Abroad (outside the EU). For most shops this is the right choice and needs no further setup.
  • Advanced Country-Specific VAT Zones – choose this if certain countries need a special VAT zone that differs from the standard logic. A Country-specific settings box appears where you select a country from the dropdown and set its VAT zone. All countries you do not add continue to use the standard logic.

Customer Field Mappings

This table controls which Shopify customer data is copied into which e-conomic customer field, both when a new customer is created and when an existing customer is updated.

The most common fields are pre-mapped for you: Customer Name, Email, Phone Number, Country, City, Zip Code, and Address. You can see the state of each field in the Status column:
  • Mapped (green) – this e-conomic field is filled with data from the selected Shopify field.
  • Not mapped (orange) – this e-conomic field is left empty. Nothing is copied.
For each e-conomic field you can:
  • Pick a Shopify field from the dropdown to map it.
  • Use Text – instead of pulling data from Shopify, type a fixed value that is used for all customers. For example, setting Credit Limit to the same amount for everyone.
  • Clear – remove an existing mapping so the field is left empty.
  • Create new Shopify field – if the data you want to map does not exist in Shopify yet, this button creates a new custom field in Shopify to hold it.
The table has two tabs: General (the common fields) and Additional (extra fields). Use the search box to find a specific field quickly. Fields worth knowing:
  • Customer Name is required and cannot be cleared — e-conomic will not accept a customer without a name.
  • Corporate Identification Number – the company registration number, for example CVR in Denmark. Map this if you sell to businesses (B2B), since it is needed for correct invoicing.
  • Credit Limit – a maximum credit amount for the customer. Only relevant if you use credit limits in e-conomic.
Click Save when your mappings are done.
